These Booking Terms & Conditions (“Terms”) apply to all travel bookings made with Pink Rhino Travel Group LLC (“Pink Rhino Travel,” “we,” “us,” or “our”) on or after April 21, 2025. By booking a trip with us, you agree to be bound by these Terms, our Privacy Policy, and any Trip Information or Special Conditions specific to your selected itinerary.

We strongly encourage all travelers to carefully review these Terms and all Important Trip Information prior to booking to ensure you understand the itinerary, level of physical activity, style, inclusions, and risks involved.


1. Our Contract & Validity

All bookings are made with Pink Rhino Travel Group LLC, a California-registered limited liability company. By booking, you enter into a binding agreement that includes:

  • Trip Information specific to your itinerary

  • Any Special Conditions provided to you in writing

A booking is only confirmed once a written confirmation or invoice has been issued. Trip itineraries and pricing are valid through December 31, 2027. Any information provided beyond this date is indicative and subject to change.


2. Booking on Behalf of Others

If you book on behalf of others, you confirm that:

  • You are authorized to accept these Terms on behalf of everyone in your party.

  • You are responsible for all payments, guest information, and communication related to the booking.

You are also liable for any errors or omissions in the information you provide for other participants. We are not responsible for inaccurate, incomplete, or outdated details submitted by the booking contact.


3. Deposit Requirement

To secure your spot, a non-refundable deposit is required:

  • Group Tours & Retreats: $500 per person

  • Private or Custom Trips: 50% of the total package price

If you are booking within 90 days of departure, the full trip cost is due at the time of booking. Higher or customized deposit amounts may apply for select itineraries or vendor-specific policies.


4. Final Payment & Confirmation

Final payment is due 90 days prior to departure, unless otherwise stated in writing. If payment is not received by the deadline, we reserve the right to cancel your booking and retain your deposit and any applicable cancellation fees (see Clause 7).

Written confirmation will be issued upon receipt of full payment, which officially confirms your booking.


5. Pricing, Fees & Surcharges

All prices are listed in USD and subject to seasonal pricing and market changes. We may impose surcharges up to 21 days prior to departure due to:

  • Currency fluctuations

  • Fuel surcharges

  • Third-party supplier increases

  • Government-imposed taxes or fees

If a surcharge exceeds 10% of your total trip cost, you may cancel within 14 days of notice for a full refund (excluding unrecoverable costs).

A late booking fee of up to $250 may apply to trips booked within 30 days of departure to cover additional administrative costs.


6. Traveler Information Requirements

You must provide the following by the final payment deadline:

  • Full legal name (matching government-issued ID or passport)

  • Date of birth, nationality

  • Passport number, issue and expiry dates (for international travel)

  • Emergency contact

  • Travel insurance policy and coverage details

  • Medical or dietary conditions (as relevant)

If you are over 70 years old or recently hospitalized, we may require a medical self-assessment or physician’s note to participate.

7. Cancellation by You

If you cancel your booking, the following applies:

  • We’ll offer a 100% future credit (minus unrecoverable costs), or

  • A refund minus unrecoverable costs.

We are not liable for incidental losses like non-refundable flights, visa fees, or insurance deductibles.


9. Booking Changes & Amendments

  • Before final payment deadline: Deposits can be transferred to another trip (minus a $250 fee and unrecoverable costs).

  • After the final payment deadline: Standard cancellation terms apply.

Transfers are only allowed when operationally feasible and guest eligibility requirements are met.


10. Conduct & Safety

We maintain a zero-tolerance policy for:

  • Discrimination, harassment, or physical/verbal abuse

  • Racism, transphobia, homophobia, or hate speech

  • Possession or use of illegal substances

Violators will be removed from the trip without refund and may be barred from future Pink Rhino experiences.


11. Travel Insurance (Required)

You must carry valid travel insurance with:

  • Emergency medical coverage ($50,000+)

  • Emergency evacuation coverage ($200,000+)

  • Recommended: Trip cancellation, baggage loss, and COVID-19 coverage

Proof of insurance must be submitted prior to departure.


12. Itinerary Changes

We reserve the right to adjust the itinerary before or during the trip due to local conditions, weather, or Force Majeure.

If changes occur:

  • Prior to departure, you’ll be notified of significant itinerary shifts.

  • During the trip, you’ll be advised by your group leader or host.

We are not liable for costs associated with itinerary changes (e.g., flights, visas, or unused portions of the trip).


13. Room Sharing & Compatibility

For solo travelers opting to share a room, compatibility is not guaranteed. We are not liable for snoring, sleep issues, or interpersonal conflicts. Alternative accommodations may be offered at the traveler’s expense.


14. Third-Party Providers & Liability

We partner with vetted third-party suppliers (hotels, tour operators, transport providers). While we take reasonable care in selecting them, we are not responsible for their acts, omissions, or services.

You may be required to sign additional waivers or agreements directly with these providers.


15. Acceptance of Risk

You acknowledge that travel, particularly adventure and group travel, involves inherent risks including physical activity, terrain challenges, political uncertainty, and health risks.

By participating, you accept full responsibility for these risks and agree to travel at your own risk. We are not liable for injuries, losses, or illnesses unless directly caused by our gross negligence.


16. Optional Activities

Optional activities not included in your package are offered independently. Any participation is at your own risk, and Pink Rhino Travel assumes no liability.


17. Claims & Complaints

If you experience a problem during the trip, notify your host or group leader immediately so we can try to resolve it.
